We primarily process your personal data for the purpose of carrying out pre-contractual measures or fulfilling our contractual obligations (Article 6(1)(b) GDPR), fulfilling our legal obligations (Article 6(1)(c) GDPR), based on your explicit consent (Article 6(1)(a) GDPR), e.g., for being mentioned as a reference, and to safeguard our legitimate interests in accordance with Article 6(1)(a), (b), and (f) GDPR.

The processing of your data mainly serves the execution and management of our services. If you do not provide us with your data, we may not be able to deliver our services.

Disclosure of Data

We disclose your data to various recipients whenever necessary or appropriate for the provision of our services. Specifically, this includes:

  • Our providers for hosting, internet, and telephone services

  • Our suppliers for training, support, and (remote) maintenance of our IT systems and hosted email servers

  • Our external payroll processing, accounting, and tax advisory services

  • Any agreed-upon data exchange and storage platform

Cookies

For the use of our online portal for applicants and exhibitors, we use cookies that are required for the basic functions of the website. Cookies are small text files that the user's internet browser stores on their computer. It is not possible to use our online portal without consenting to these cookies. Users of the portal can view their settings at any time under “Cookie settings”. 

We use the “Company name and address” service for the cookie consent declaration and logging as well as the ongoing review of the cookies we use. Cookiebot stores the following data, which is automatically deleted after 12 months: 

 

The IP number of the end user in anonymized form (the last three digits are set to '0') 

Date and time of consent 

User agent of the end user's browser 

the URL from which the consent was sent 

the consent status of the end user, which serves as proof of consent 


The basis for data processing is Art. 6 para. 1 lit. b GDPR, which allows us to process data for the performance of a contract or pre-contractual measures. 

Use of Microsoft OneDrive

We use Microsoft OneDrive, a cloud storage service provided by Microsoft, for administrative efficiency. We store your data in Microsoft OneDrive based on your consent (Article 6(1)(a) GDPR) and have signed a data processing agreement with Microsoft. Microsoft OneDrive is a highly secure data processor.

Microsoft is an active participant in the EU-U.S. Data Privacy Framework, ensuring the correct and secure transfer of personal data from EU citizens to the United States. More information can be found at:

The service provider of OneDrive is Microsoft Ireland Operations Limited, though personal data may also be transferred to its parent company, Microsoft Corporation, headquartered in the USA (One Microsoft Way, Redmond, WA 98052-6399).

Additionally, Microsoft implements Standard Contractual Clauses (SCCs) under Article 46(2) and (3) GDPR. These clauses, provided by the EU Commission, ensure that your data remains compliant with European data protection standards, even when transferred to and stored in third countries like the USA. Through the EU-U.S. Data Privacy Framework and the SCCs, Microsoft commits to maintaining the European level of data protection, even when processing data in the USA.
